Quick Tip #18 - What to do with Your Shared Email Address

Last time we talked about how an email address for Gainsight notifications can make your life a lot easier. This week, let’s dive into some specific ways you can use your shared email to ensure nothing falls through the cracks. Here are some of my favorite ideas:

 

1. Rule/Job Failure Notifications

If nothing else, use your shared email for failure notifications. These notifications are important to catch early to avoid problems down the line.

 

Rules Engine, Connectors, Data Designer
For these areas, you'll need to open each rule/job to enable email notifications.

  1. Go to the scheduling/configuration
  2. Check yes to send emails on every run
  3. Set it for failures and partial failures

 

Pro Tip: Stick to failure notifications unless it's a critical rule you want to monitor closely. This keeps your inbox clean while ensuring essential alerts aren't missed.

 

2. Integration User Account

You can use this email as a user account for integrations.

  • For example, get a Salesforce user account created with this email and use that as the authentication user in Gainsight. Then you won’t need to worry about people leaving the company or permissions changing. And if reauthentication is needed, you won’t have to depend on someone’s personal credentials—your shared email makes it seamless for the team.

3. Customer Communications
  • Programs: Use the share email as the "send from" and/or "replay to" email address for your Journey Orchestrator programs, especially for digital touchpoints or automated messaging.
  • Survey Responses: Centralize customer feedback by routing all survey replies to this email address, making it easy for the team to review and respond.

 

4. Reports and Dashboards

Schedule automated reports and dashboards to be sent to this email for easy access and consistent tracking. I like to use this to send a dashboard link to remind myself/the team to check certain date points on a weekly basis.

 

5. System Alerts

Use this email to inform your team about important Gainsight alert or updates.
